STUDIO BOOKING, MEMBERSHIP & RENTAL POLICY

Legacy Studios operates as a membership-based creative studio, while also offering limited general rentals when availability allows.

All access is structured to protect the studio environment, calendar flow, and member experience.

MEMBER PASS STRUCTURE & HOURS

Community Member Pass

Designed for creatives who shoot occasionally but want consistent access.

• 2 prepaid studio hours per month
• Up to 3 additional hours available at $35/hour
• Any hours beyond that billed at regular studio rate ($65/hour)
• Maximum of 5 total hours per month

Creator Pass

Built for photographers and content creators who work consistently.

• 10 prepaid studio hours per month
• Additional hours billed at regular studio rate ($65/hour)
• Priority booking over Community Members

Pro Pass

For high-volume creatives and brands requiring extended access.

• 15 prepaid studio hours per month
• Highest booking priority
• Ideal for recurring projects and productions

HOUR USAGE RULES (ALL MEMBER PASSES)

• Hours must be booked in advance
• Unused hours do not roll over
• Hours must be used within the active billing month
• Bookings are first-come, first-served within tier priority

SUGGESTED BOOKING WINDOWS

To maintain smooth transitions between sessions, members are encouraged to book within the following windows:

• 8AM– 10:00 AM

• 10:00 AM – 12:00 PM

• 12:00 PM – 4:00 PM
• 4:00 PM – 8:00 AM
• 7:00 PM – Close

Members are not required to fill the entire block — these windows exist to support scheduling flow.

CALENDAR ACCESS & FUTURE BOOKINGS

• The studio calendar opens 30 days in advance
• Bookings are confirmed once scheduled inside the active billing month

Future Month Reservations

Members wishing to reserve studio time beyond the current billing month must prepay the upcoming month.

• Payment activates booking access for that month
• Dates are secured once payment is processed
• Legacy Studios does not hold dates without payment

Members remain on their current tier when paying ahead.

GENERAL STUDIO RENTALS (NON-MEMBERS)

Legacy Studios offers limited general rentals based on availability.

• Rentals are billed at the regular studio rate
• Member bookings take priority over general rentals
• Rentals must be booked in advance
• General rentals do not include member pricing or benefits

General rentals are intended for one-off sessions and do not guarantee future availability.

PAYMENTS, CANCELLATIONS & CREDITS

Payment Policy

• All payments are non-refundable
• This includes memberships, additional hours, and general rentals

Credits

• Cancellations made within 14 days of the original booking may receive a studio credit
• Credits must be used within 14 days of issuance
• Credits are non-transferable and cannot be redeemed for cash

No-shows or late cancellations may forfeit credit eligibility.

PLAN CONSISTENCY

• Members remain on the same tier during prepaid periods
• Tier changes may only be requested at the start of a new billing cycle
• Tier availability is limited

STUDIO ETIQUETTE

All members and renters are expected to:
• Respect their scheduled time
• Leave the studio as found
• Treat the space and staff professionally

STUDIO RULES & EXPECTATIONS

Legacy Studios is a shared creative environment. These rules exist to protect the space, the experience, and everyone who works here.

1. Respect Your Booked Time

Sessions must start and end at the scheduled time.
Please allow time for setup and breakdown within your booking window.

2. Leave the Studio as Found

Return furniture, props, and equipment to their original positions.
Remove all personal items and trash before exiting.

3. No Smoking or Open Flames

Smoking, vaping, candles, incense, or open flames are not permitted anywhere in the studio.

4. Guest Responsibility

Members and renters are responsible for all guests.
Guest count must stay within approved capacity.

5. Respect the Space & Equipment

Handle all studio equipment, furniture, and sets with care.
Any damage caused during a session is the responsibility of the booking party.

All studio time must be booked in advance through the approved booking method.

  • Membership hours are prepaid and apply only to the current billing month unless otherwise approved in writing.

  • Unused hours do not roll over to the next month.

  • Membership hours are non-transferable and may only be used by the active member.

  • Additional hours beyond the monthly allotment are billed at $35/hour and must be approved prior to use.

  • Members are responsible for arriving and leaving on time. Booking time includes setup and breakdown.

  • The studio must be left clean, organized, and reset as found. Failure to do so may result in cleaning or reset fees.

  • Any damage to the studio, equipment, or sets will be assessed and billed accordingly.

  • The studio reserves the right to deny or revoke booking access if policies are repeatedly violated.

Billing & Cancellation Policy

  • All memberships are automatically billed on the 1st of each month.

  • Membership fees are non-refundable once the billing cycle begins.

  • To cancel a membership, notice must be provided before the next billing date.

  • Cancellations made after billing has processed will take effect the following month.

  • Missed sessions or unused hours are not eligible for refunds or credits.

  • Failed or declined payments may result in temporary suspension of booking access until resolved.

  • Legacy Studios RI reserves the right to update pricing or policies with prior notice to active members.
